There is a lot to consider when hiring a band for your wedding day! How long do you contract them for? Do you need all band members the entire length of your wedding? Do you need to serve them a vendor meal? When do they start, take breaks and finish? Lucky for you I’ve assembled a sample wedding band timeline so you can maximize your budget and still have a wedding that transitions seamlessly into each venue! Here is a wedding band timeline!


*This sample is assuming a 4:00 PM ceremony start time and a band with a total of 6 members. Start your wedding with 2 band members from 3:00 PM – 6:00 PM, then add on the remaining 4 band members from 6:00 PM – 10:00 PM (or whenever your venue curfew is or your vendor contract states). This will save money by not having to pay all 6 band members for the entire length of your wedding.

3:00 PM-3:30 PM: Band sets up at ceremony venue.
3:30 PM-4:00 PM: Band starts playing welcome music.
4:00 PM-4:30 PM: Ceremony starts, plays ceremony music for bridal party and bride walking down the aisle.
4:30 PM-4:45 PM PM: Ceremony concludes, band sets up as guests slowly make their way to cocktail hour for cocktails & passed hors d’oeuvres.
4:45 PM – 5:45 PM: Band plays cocktail hour music.
5:45 PM-6:00 PM: Guests are invited into reception dining room to be seated for dinner, no music during this time. Hint hint: guests be seated! Band transitions into the reception.

Note: 2 band members who worked earlier will have a quick break and eat their vendor meal. The other 4 to have already eaten their vendor meals.
6:00 PM – 6:10 PM: Bridal party & couple introduced into the room to songs of their choice.
6:10 PM – 6:15 PM: Couple’s first dance song followed by brief welcome toast from bride’s father (band to briefly stop for toast).
6:15 PM – 7:15 PM: Dinner service to begin with salad course, starter course & entrée course. Talk to your band for light music to be played during dinner that won’t overpower conversations.

7:15 PM – 7:30 PM: Reception video (optional).
7:30 PM – 7:45 PM: Toasts to take place.

7:45 PM – 8:00 PM: Father daughter dance, mother son dance, followed by open dance floor.
8:45 PM – 8:55 PM: Bouquet and garter toss with songs selected by bride and groom.
8:55 PM – 9:00 PM: Cake cutting & coffee service with song selected by bride and groom.
9:00 PM – Venue Curfew or Contract Agreement: Band to continue playing dance music for the dance floor. Be sure to have a contingency plan to give your band lead ‘the signal’ if you want them to play longer or a hard stop for budget constraints.
